You're right about that. We wouldn't want that either. That's why we do everything we can to handle your private information in the right way.
Coolblue stores your personal information in a secured database. And it stays there. We only share your information with third parties that help us find new colleagues. Your data won't get handed over to third parties for commercial purposes.
To arrange your application and your onboarding as smoothly as possible, we need your information. You can read which information we ask and what we use it for below. You can also see what your rights are, who has access to your information, and for how long we store your information.

Dependent on the phase of the job application, we can process the following information:
Coolblue stores your personal information in a secured database. And it stays there. We only share your information with third parties that help us find new colleagues. Your information won't get handed over to third parties for commercial purposes. To arrange your application and onboarding as smoothly as possible, we need your information. Identification and contact information We process your name, date of birth, and phone number. With these, we can register your application, contact you, and keep you updated on the progress.
Email addressDo you want to be kept up to date on our latest vacancies? If you give us permission, we'll send them to you via email. We'll also email you a confirmation of you respond to one of our vacancies or if we've agreed on a conversation. And if you have to do a test during the application process, we'll send you the login information via email as well. Rather not receive vacancies anymore? Unsubscribing is very easy: via the link at the bottom of the email.
Salary indication and availability We're curious how much you want to earn. And how many hours per week you want to work. This way, we can assess if your wishes align with the job and to prepare a suitable offer.
Application information We use the information that you send along with your application, such as your CV (including education and work experience), cover letter, an optional video, and results of your assessments. We automatically see everything you include in your CV, such as your address or photo. That's useful, because we already have them this way. We might still ask for them again later. We need this information to assess if your profile fits the job and Coolblue. The results of the assessments can be used to decide if you continue to a next round.
IP address In the store, we can recognize you by your smile, on the internet we take a look at your IP address. By remembering your IP address, we can let everyone apply safely.
Social media If you have a public profile (on LinkedIn, for example), we can use it to check if Coolblue and a job suit you and to verify the information in your CV. We limit this to work-related information and don't do anything secretive with it.
Certificate of Conduct (VOG) For some jobs, we ask for a Certificate of Conduct (VOG). We only do this if this is really required for the job or if we're legally obligated. We use the VOG to check if there are no things in your past that make it unwise or impossible to let you do that job (for example, handling money, sensitive information, or items with a high value).
In this phase, we'll need extra information from you to create an employment contract, put you in our systems, and to comply with legal obligations.
Identification and contract information
We ask your full first names and last name, sex, date of birth, place of birth, and nationality. Just like in your passport. This way, your information is correct in your employment contract, in our HR and salary systems, and, if necessary, in communication with official organizations.
Address, postal code, and place of residence
We use your address, postal code, and place of residence for your contract and salary administration and to send you cards, presents, work clothes if necessary, and home office supplies. We use your phone number to contact you about practical things regarding your commencement of employment and first work day.
Information for terms of employment We register your marital status, because this can be relevant for pension or other terms of employment. For some international candidates, we also ask about the family situation. That's because we can arrange suitable housing, if necessary. We register your education level (such as a masters title), so this is correct in our systems and, if necessary, is proof for certain immigration or fiscal regulations.
IBAN and BSN We need your IBAN to pay your salary in time and to the right account. We use your BSN to register you at the Dutch Tax Administration and other official organizations, such as the pension provider.
Driver's license and ID If you're going to drive with our blue van or car, we want to make sure that you have a driver's license and when it expires. We need a copy of your ID to determine your identity and nationality and to provide official organizations with your information.
Emergency contact We hope that it's not necessary, but just to be sure we want to know who we should call in case of emergency or if we can't reach you.
Residence permit or work permit For some colleagues, we also process information on residence permits and work permits if it's necessary to comply with immigration and work legislation.
Application If you apply for a job or internship, we receive your personal information. Sometimes, we do extra research at Stichting FAD or Waarschuwingsregister Logistieke Sector. For example, because you apply for a job in which you handle money, confidential information, or products. This register complies with all legal requirements. As it should. Sometimes, we want to know even more about you. We can always call one of your references, but we always discuss this with you. Is the application process over? We use your information anonymously or delete your application information.
Vacancy notification You indicate about which vacancies you want to receive more information and we'll keep you updated via email. It's easy to unsubscribe: you can do this via the link in the email.
Finding new colleagues You can respond to our vacancies right away. You can also call or email us when you want to apply. And we remember your story, so you don't have to tell us twice. But only while the application process lasts. Afterward, we use your information anonymously or delete it. We use your information to analyze all contact moments, for example. The application process becomes a little bit better every day this way. We use accounts in a number of public platforms, so we can view the profiles of potential Coolbluers. On LinkedIn, for example. This way, we can ask you directly if you want to become our new colleague. But only if you give us permission to approach you. If we want to remember you, we also ask if we're allowed to save your profile. Don't you want that? We won't save your profile and we won't approach you anymore. And we'll wipe away a tear. Is it okay if we approach you? Great! We'll ask you for more information right away, so we can put you forward for a vacancy.
During conversations (by phone or online), we might use an AI notetaker app (Fellow) that records the conversation and converts it into a transcript and a short summary, so our recruiter can focus on the conversation and we have an accurate report.
We also use an AI-driven recruitment platform (Carv), to support parts of our recruitment and selection process. During your application, you might have contact with AI systems that provide the first contact, routing, pre-selection, plan conversations, and match roles. These systems support our team. The eventual decisions about hiring and offers mostly stay with our team. If you'd rather receive a human assessment, you can ask for this.
Social media and putting you forward Do you apply via social media? We like to take a look at who you are. And one of our core values is 'Friends'. Is one of your friends on social media already a Coolbluer? We can take a look at your profile and ask our colleague how they know you. Do you have a photo online where you drink beer in a banana outfit? Nice, we like it. Did your Coolblue friend put you forward? We'll store your information for 12 months, so we can pay your friend the Buddy Bonus.
Improvement To become a little bit better every day, we collect data from your visit to our website. We collect data about viewing vacancies or clicking links. Of course, we always handle your data according to this privacy policy. This also applies to third parties that we ask to research this data. Customized job vacancies If you want to become our new colleague, you're probably looking at Werkenbijcoolblue.nl, Werkenbijcoolblue.be, Travaillerchezcoolblue.be, or Careersatcoolblue.com. And if you find a job that suits you, you apply right away, of course. Based on your visit to one of these pages, we show you personal vacancies using cookies. Also on other websites, such as Facebook. Do you want to decide yourself what you share with us? You can do this by providing your cookie preferences.
Fraud prevention We want to trust everything and everyone. But that's a little naive. Sometimes, we have to use information from applicants to research, prevent, and combat fraud. And if you make yourself look really suspicious, we have to hand over your information to government organizations. So don't do it. Recruiting suitable candidates During the recruitment process, we search for suitable candidates with direct search, talent pools, and events.
Direct search We approach candidates via various platforms, such as LinkedIn. We save profiles and personal information with permission of a candidate.
Talent pools Candidates that seem suitable for Coolblue but aren't directly up for a vacancy or to participate in an event are added to the talent pool. Coolblue asks these candidates for permission to store their information for this. This applies to personal information, CV, and cover letter. We'll regularly keep in touch, for example by phone or via emails with interesting articles, vacancies, or an invitation to an event. A year after the candidate gave permission, the information will be deleted.
Events Candidates can sign up for participation in an even that's organized by Coolblue via the website. They'll provide personal information, CV, and cover letter. Information from the candidate will be deleted 4 weeks after the event has happened, unless the candidate gives permission to store their information for a year. After this year, the information will be deleted unless the candidate gives permission again to store their information for a year.
Offer and onboarding If we become friends, we need extra information to ensure that your employment contract is completely correct, just like the information in our systems. We also have to share this information with other parties, such as pension providers, banks, public transportation companies, and maybe a lease company. This way, they can prepare everything and you can get started well.
According to the privacy legislation, we’re required to disclose on what legal grounds we’re able to use your information. We need some information to review your application or to come to an employment agreement, such as your name, personal information, CV, and (in the offer phase) your address, BSN, and IBAN. Next to this, we can use your information in the case of’ ‘legitimate interest’. This means that we want to get to know all our potential colleagues and want to be sure that we're a good match. This applies to the use of vacancy notifications, finding new colleagues, social media, improvement, Customized vacancies, talent pools, and events. We could also have a legal obligation to use your information. And sometimes you’ve provided us permission to use your information. This is the case when you subscribe to the newsletter or when you indicated that we can store your information a little longer. For other great roles at Coolblue, for example. We keep track of this appropriately.
We only pass on your information to other parties when this is really necessary for providing you our services. This applies to parties such as: banks, pension providers, public transportation companies, lease companies, IT service providers, such as our salary processor, and parties that helped is with your recruitment.
If you start working with us, we have to make sure that your salary is paid to the right bank account and that you can travel to your work location on the first day.
The parties who receive access to your information through us, are only allowed to use it to offer you a service on behalf of Coolblue. An exception is when they are responsible for acquiring and protecting your information themselves. Some cookie developers have access to the information which cookies collect on our website. You’ll read more about this in our cookie statement and in the privacy policies of these parties.
We save your information in several databases, and we always use strict security measures. Your information is almost always saved within the European Union. We like to keep things in the neighborhood. In the rare case that your information is passed on to countries outside of the European Union, we’ll ensure that your privacy remains protected in the best way possible. This has been officially determined for certain countries. With some American parties, we work with official model contracts, which are especially set up to safeguard your privacy.
We won't save and use your information longer than necessary. We delete all the information we have of you afterward. Or we use your data anonymously, because we need certain data for internal analyses and reports such as the value of your order. Sounds simple, but how does that work in practice? We maintain a few time periods, after which we delete your information. You can find them here: We'll store your CV and other application information for a maximum of 4 weeks, unless you indicated that we may also use them for other applications. And if you start working with us, we'll of course transfer the information to our other systems as well.
In principle, no: a real Coolbluer almost always looks at it, and they make the final decision. AI can help us to make the selection easier. There are exceptions. For a limited number of objective, hard requirements, the decision can be automatic. If you apply for a delivery driver position, but you don't have a valid driver's license, our system can determine this right away. If you clearly don't meet a hard requirement, we'll let you know this with the reason. Do you want a human to take a look? That's always possible.
That's possible. Do you object to the recording of the conversation? Tell your recruiter, so we'll take notes by hand. And do you want a person instead of an AI system to take a look at your application? We can also make sure of that, don't hesitate to ask. If you can't figure it out with your recruiter or if you have a question or complaint about your privacy, you can always go to our Data Protection Officer via privacyvragen@coolblue.nl.
You reign supreme when it comes to your information, of course. Would you like to access your personal informatio or receive a copy for free? Or would you like to edit your information, delete it, restrict usage, or adjust your email preferences? Say no more. Let us know via mail or email. Do you want us to transfer your information to another party? We can do that. Send your request via mail or email and we'll make it happen. And would you rather not have any cookies at all? You can arrange this yourself as well. Our cookie statement tells you how to do this. We want to make sure it’s really you. That’s why we could ask additional information to establish your identity. We also do this when we receive unclear requests.
